1. Purpose
Rosewood Career Institute Inc. (“Rosewood,” “we,” “our,” or “us”) is committed to maintaining a professional, respectful, and supportive learning environment. This Student Complaint Policy provides students with a clear process to submit complaints regarding institutional practices, services, or conduct that may not rise to the level of a formal grievance.
The goal of this policy is to ensure that student concerns are heard, reviewed, and addressed promptly and fairly.
2. Scope of Complaints
This policy applies to student complaints related to, but not limited to:
- Administrative services or processes
- Customer service experiences
- Scheduling or communication concerns
- Facilities, equipment, or learning environment issues
- Instructor or staff professionalism (non-disciplinary)
- Program operations or policies
- Website, enrollment, or billing concerns
Complaints involving discrimination, harassment, retaliation, or policy violations may be addressed under the Student Grievance Procedure or Non-Discrimination Policy.
3. Difference Between a Complaint and a Grievance
- A complaint is an expression of dissatisfaction seeking clarification, correction, or improvement.
- A grievance is a formal allegation involving policy violations, discrimination, or serious institutional concerns.
Rosewood reserves the right to redirect a complaint to the appropriate procedure when necessary.
4. Informal Resolution
Students are encouraged to seek informal resolution whenever possible by communicating directly with the relevant instructor, staff member, or administrator. Many concerns can be resolved quickly through discussion and clarification.
5. Submitting a Formal Complaint
a. Complaint Submission
If informal resolution is not successful or appropriate, students may submit a formal complaint in writing.
A complaint should include:
- Student’s full name and contact information
- Description of the issue or concern
- Date(s) and individuals involved
- Any supporting documentation
- Desired outcome, if applicable
Complaints should be submitted within 30 calendar days of the issue.

6. Review Process
Upon receipt of a formal complaint:
- Rosewood will acknowledge receipt within 5 business days
- The complaint will be reviewed by appropriate administrative personnel
- Additional information may be requested if needed
Reviews are conducted objectively and confidentially to the extent possible.
7. Response and Resolution
Rosewood will provide a written response outlining findings, actions taken, or recommendations within 15 business days of completing the review, unless additional time is required.
Possible outcomes may include:
- Clarification of policies or procedures
- Corrective actions or service improvements
- Referral to another policy or process
- No action if the complaint is unsubstantiated
8. Non-Retaliation
Rosewood Career Institute Inc. strictly prohibits retaliation against any student who submits a complaint or participates in the complaint review process.
Any alleged retaliation should be reported immediately and will be addressed promptly.
9. External Complaint Options
If a complaint cannot be resolved internally, students may have the right to pursue external complaint options through regulatory or oversight agencies, as permitted by law.
Rosewood encourages students to complete the internal complaint process prior to seeking external remedies.
10. Recordkeeping
Rosewood maintains records of student complaints and resolutions in accordance with institutional policy and applicable laws. Records are kept confidential and used for compliance, quality assurance, and continuous improvement.
11. Policy Updates
Rosewood Career Institute Inc. reserves the right to update this Student Complaint Policy at any time. Any changes will be posted on this page with a revised effective date.
